Field Rental Policies


General Information

  1. All field usage requests must go through the Parks and Recreation Department (IPAR).
  2. Max of two 2-day tournaments per month. Multi-day events need Athletics Division approval.
  3. Renters requiring port-o-lets must contract with an outside vendor. One unit per 100 participants is required, with at least one ADA-compliant unit.
  4. Signs and banners can be hung along the fence but must be removed at the end of the event. All signage must be approved by the Athletics Division. Solicitation of alcohol and tobacco products is prohibited.
  5. Reservations are made on the hour (e.g., 4 p.m., 5 p.m.) and must be paid in person or online.


Gaming fields are winterized annually and not playable from Thanksgiving week to March 1.


Payment Information

Irving Parks and Recreation (IPAR) rents athletic fields to recreation and competitive leagues, as well as the public, including tournament organizers. Rentals are hourly, with an additional fee for lights. A $35 penalty per staff member applies for litter left on or around fields.


  1. Final payment is due one week prior to the event.
  2. Payments must be made in person or online. Accepted payment methods in person are check, cash, money order, or credit card (MasterCard or VISA). Online reservations require an ActiveNet account, and the City of Irving does not accept American Express.
  3. Payments should be made payable to the City of Irving.


Cancellation and Rain-Out Policy

  1. Cancellations must be made at least five business days before the event; otherwise, the $500 tournament fee is forfeited.
  2. If fields need relining, a $35 fee per field will apply for each occurrence after the initial setup. A minimum of two staff at $35 per hour per staffer, with a two-hour minimum, will be charged.
  3. In case of rain, a drying agent is available for $10 per bag, with a maximum of 10 bags per field. Staff will make this decision upon request. An additional hourly staff charge applies for services before 2:30 p.m., and on-call services are not available.
  4. If lightning is seen at game time, all games will pause for 30 minutes. Everyone must leave the fields and seek proper shelter (not dugouts, pavilions, or field areas). Updates will go through the tournament organizer, who makes final decisions.

Field & Facility Guidelines

  1. Tents/Canopies: Personal 10x10 tents are only allowed in designated areas determined by staff. Improper placement may result in removal from the facility. Renters should help enforce this.
  2. Parking: Only park in designated areas. No street or grass parking. Vehicles near field areas are not allowed. Violators may be ticketed or towed.
  3. Water & Coolers: No city-provided water coolers. Personal coolers are allowed. Drinks available via concessionaire, vending machines (if any), and water fountains. No personal grills.
  4. Medical: No athletic trainers are provided. Renters should have a medical emergency plan.
  5. Pets: No pets in the sports complex/fields. In parks, pets must be leashed and cleaned up after.
  6. Prohibited Items: No propane heaters. Golf carts require prior approval.
